Your Records

The useful part is how the work got done.

Buyers want to see a problem traced through to its result. A support case that records the original issue, a failed first fix, the eventual repair and confirmation it worked says a lot more than a folder of finished invoices.

What a connected history looks like

Industrial distribution

An order exception, resolved

  1. RequestCustomer reports 40 units short on a pallet of fittings.
  2. WorkInside sales checks the pick ticket, carrier POD and bin count.
  3. DecisionShort-ship confirmed. Credit memo or reship? Customer picks reship.
  4. OutcomeReplacement ships next day. Credit note closed, root cause logged.

Logistics

A freight bill, explained

  1. RequestShipper disputes an invoice that came in $612 over quote.
  2. WorkBilling pulls the rate confirmation, BOL and reweigh certificate.
  3. DecisionReweigh stands, but the liftgate charge was never ordered.
  4. OutcomePartial credit issued with a written explanation to the shipper.

Field service

A fault, diagnosed and repaired

  1. RequestRooftop unit at a client site trips on high pressure.
  2. WorkTech records readings, replaces a fan motor. Fault returns.
  3. DecisionSecond visit traces it to a failing pressure switch.
  4. OutcomeSwitch replaced, unit runs clean, asset history updated.

Where it sits

Most of it is already in systems you use every day.

Older systems and archived folders count too. The oldest complete records are often the ones nobody has looked at in years.

Email and internal messages

Full threads around a job, customer or decision. Replies, attachments and dates link the request to what happened next.

Outlook, Gmail, Teams, Slack

Support tickets and service inboxes

The problem, the questions asked, the handoffs and the final answer. A closed case with a recorded result says much more than a list of complaints.

Help desk, shared customer-service inbox

Order, billing and operating systems

Quotes, orders, invoices, approvals, exceptions and credits. A customer, job or order number often ties these together across systems.

ERP, TMS, accounting software

Work orders and equipment histories

Completed jobs, inspection findings, faults, repair notes and results, ideally following the same job or asset over time.

Field-service and maintenance systems

Project folders and shared files

Instructions, reports, revisions and the reasons behind decisions. The revision history matters as much as the latest file.

Shared drives, document management

What makes a history useful

Complete, connected and with a clear outcome.

  • You can follow a job, order or piece of equipment from start to finish.
  • The outcome is recorded, including fixes that didn't work the first time.
  • Several years of history survive, not just the current system's data.
  • The work involves real judgment: diagnosis, exceptions, disputes, approvals.

Sector and file count alone don't establish value. Thousands of emails or years of invoices are a starting point. Our partner confirms what its buyers currently need before anything is assessed.

Who we work with

Established operating businesses.

We start with companies that have run real operations for years, such as:

  • Industrial and MRO distributors
  • Trucking, freight and 3PL operators
  • Manufacturers
  • Contractors and construction firms
  • Field-service and maintenance companies

Fit depends on your specific records and on current buyer requirements, which our partner confirms. Being in one of these sectors doesn't guarantee a license.

What we'll ask on the first call

  • Which systems hold your records, including older ones
  • How many years of history remain, and which department kept them
  • Whether a job or customer can be followed from start to finish
  • Who would make the decision
  • Anything you'd want excluded, and any existing licensing or representation

We won't ask for exports, logins or sample files. That only happens later, through our partner's approved process, if you decide to proceed.

Start with a conversation

Tell us about your business and the systems you work in. We'll tell you honestly whether it looks worth a closer look, and what would happen next. We won't quote a price or ask for any data on that first call.
